AI in the Daily Workflow

One Skill Library, Five Seats

Most teams visit Claude when they get stuck. The teams pulling ahead run it like a hire: on the clock, in every seat, every day.

The 19-skill library is the catalog: what each skill does and where to download it. This page is the operating picture. Which skill fires, in which seat, at what hour.

Five seats run the day: prospector, lead manager, closer, admin, owner. Claude covers a different slice of each. Map the slices and one admin plus Claude covers what several seats used to.

prospector lead manager closer admin owner one skill rack
Five seats, one rack. Every cable draws from the same 19-skill library, and the engine never clocks out.

The skills read your DataSift account, so the CRM sets the ceiling. Run STABM on every record in and out: Status, Task, Assignee, Board, Messages. Clean records in, accurate reports out.

Seat 1 / Prospector

Claude preps the session and grades it. The human dials.

  • text-touch-builder wrote Text Touch 1-4 into custom fields. Texting first lifts answer rates: your number is no longer a stranger.
  • caller-reputation-monitor publishes the day's recommended dial pool with per-number caps, so no number burns into Spam Likely.
  • dial-report posts the 9pm Slack digest: dials, correct numbers, and dispositions per caller, against the 150 floor.
Seat 2 / Lead manager

The lead manager qualifies. Claude digs where humans stall.

  • sift-operations holds the CRM playbook: STABM on every record, the daily pipeline routine, 100% same-day contact.
  • deep-prospecting-v4 fires on dead skip traces, 3+ attempts with no contact, return mail, or a deceased owner. About $2.30-3.00 per record returns the who-must-sign table.
  • lead-manager-coach transcribes real calls with tonality notes and grades 4 Pillars qualification weekly.
Seat 3 / Closer

Closing calls are rare and expensive. Claude preps both sides.

  • closer-coach pre-games the big call on past tape. Widen the pull to 30 days: closes are rarer than cold calls.
  • real-estate-comping and rehab-estimator build the offer pack: Two-Bucket ARV, room-by-room rehab, MAO.
  • After a loss, the negotiation timeline shows every price move and quotes the moment the deal was won or lost.
Seat 4 / Admin

The admin seat is where Claude replaces the most hours.

  • first-market-county-data and sequential-presets put courthouse pulls and filtered lists in the CRM before callers log on.
  • phone-validator Trestle-scores every number first: about 9 dials per correct number scored, 32 blind.
  • candidate-intake ranks applicants into Interview, Maybe, and Dismiss tiers. It never messages anyone before you review the list.
Seat 5 / Owner

The owner reads outputs, not screens.

  • Daily: the 9pm digest. Can you name yesterday's dial count for every caller?
  • Weekly: three coach scorecards (cold-call-coach, lead-manager-coach, closer-coach) plus the Friday kpi-engine report.
  • Benchmarks come built in: 2-3 leads per prospector per day, 1 contract per 15-20 leads. Manage the numbers, not the feelings.

Install a Skill, Then Teach Your Own

Installing takes under two minutes. Teaching Claude a workflow it has never seen takes one recorded session.

1

Download the .skill file

Every card on the skill library page links its Google Drive download.

2

Upload it to a Project or Co-Work session

A Claude Pro account at $20/mo is enough. Click the + button in the conversation and pick the file.

3

Trigger it by name

"Run a comp analysis on [address]." If a skill calls an external API, set Capabilities first or it fails silently.

That is the whole install. The library page carries the screenshot walkthrough, capability setup, and troubleshooting.

The teach-Claude flow

The library will never cover your exact operation. Record yours once and Claude writes the skill.

1

Record the workflow

A Loom transcript works. So does the Teach Claude Chrome extension, which captures your browser actions as structured steps.

2

Feed it to playbook-creator

The skill turns raw transcripts into a polished SOP. Record the same process three times for a richer one.

3

Package the SOP as a skill

Ask Claude to write it as a .skill file, then upload it like any library skill. Full recording toolkit: SOP Creation.

The Lead Management Plugin

One file wires the whole lead lifecycle into DataSift: boards, statuses, sequences, intake fields, and a daily KPI bot.

5

SiftLine boards

Lead Management, Acquisitions, Transactions, Wholesale/Flips, Rentals.

10

Active statuses

New Lead through Closed. One shared pipeline language.

26-27

Sequences

Pre-built follow-ups, including both exit-pipeline drips.

75

Intake fields

The 7-folder structure, built by API in about 60 seconds.

Install the .plugin file in Claude Cowork and give it two commands. "Set up my training" loads the structure and generates your branded Lead Manager training manual. "Build my custom fields" POSTs to apiv2.reisift.io and creates every folder and field.

Run the default build before customizing anything. It encodes the two-drip model and the temperature cadence: Hot every 2 days, Warm every 15, Cold every 45. Master the stack, then tune it.

The plugin builds the machine. Lead Management & CRM teaches you to run it. The Intake Call walks all 75 fields one folder at a time.

What Changes at Each Phase

Same library, different job. As the team grows, Claude moves from doing your work to managing everyone else's.

1

Phase 1: The Operator

You run every seat, so Claude is the second pair of hands: comping, phone scoring, and list pulls between your own dial blocks.

2

Phase 2: The Delegator

First hire is the admin at $500-700/mo. One admin running Claude covers list pulls, skip tracing, intake, and reporting: work that used to take several seats.

3

Phase 3: The Manager

Prospectors at $750-1,000, a lead manager at $1,500-3,000, a closer at $2,000 plus 3-10%. The three coaches and kpi-engine become your management layer.

4

Phase 4: The Owner

You read the Friday report and the scorecards. The operation reports to the numbers, and the numbers report to you.
